Administrative Assistant, NSCDA-NC – Job Description

The NSCDA-NC is a non-profit organization founded in 1894 with the three-fold mission of historic preservation, education and patriotic service. The membership – currently totaling more than 1,750 – consists of women whose ancestors played a significant role in the development of our country. The NSCDA-NC is headquartered in the 1770 Burgwin-Wright House at 224 Market Street in historic downtown Wilmington.


Job Description

  1. Member admission process and membership database
    1. Prepares and dispatches annual dues notices
    2. Records dues payments
    3. Updates member records
    4. Oversight and coordination of membership applications
  2. Communications
    1. Maintains administrative functions of web site
    2. Prepares and publishes mass emails
    3. Assists the newsletter editor in compiling content for print version, oversees printing and mailing
    4. Compiles content for and manages preparation of annual Blue Book, coordinates printing and mailing
    5. Serves as main point of contact for members (telephone and email)
  3. General administrative duties
    1. Manages office supply and break room inventory, orders supplies
    2. Handles all shipping, mailing
    3. General administrative support to the Executive Director and President
    4. Liaison with vendors (tech support, Office Depot, utilities, etc)
    5. Opens mail and distributes
    6. Filing
    7. Correspondence


Qualified candidate must have:

  • Data entry and database management experience
    (Experience with membership management platforms such as Memberclicks is preferred)
  • Web site administration experience including mass email management
  • Expertise in Microsoft Word and Excel. Expertise in Publisher is a plus.

Compensation commensurate with skills and experience. 30 hours/week to start with possibility of evolving to fulltime.
